A practical way to categorize statement lines

Processor formats differ, so use the descriptions on your own statement rather than forcing every line into a category. Interchange and network assessments are underlying payment-network costs; processor markup, transaction, gateway, monthly, equipment, and service charges may appear in separate sections. Refunds, reserves, deposits, and chargeback principal are not automatically processing fees.

Why reconciliation matters

When categorized fees do not equal the reported total, the difference is a clue—not proof of an overcharge. It may represent a fee on another page, a separate gateway invoice, a refund or adjustment, a tax, or a line entered twice. Reconcile the statement before comparing months or quotes.

Protect sensitive information

Use summary dollar totals only. Do not upload or enter full card numbers, bank-account numbers, Social Security or tax-identification numbers, passwords, authentication codes, or an unredacted merchant statement.

Next checks after finding the largest category

  • Confirm the label and calculation against the pricing schedule or merchant agreement.
  • Compare the same category across representative months rather than relying on one statement.
  • Separate recurring fixed fees from percentage and per-transaction costs before comparing another quote.
  • Ask the processor to explain an unfamiliar line in writing; do not infer its purpose from the amount alone.
